Host A Side Event at OpenLivingLab Days 2025
Bring your community together, showcase your work, or lead the discussion - on your terms.
As part of OpenLivingLab Days 2025, we invite you to organise a Side Event that runs alongside the main conference programme. Whether you’re a project consortium, institution, network, or organisation, this is your chance to host your own session, workshop, or meeting, while benefiting from the visibility and reach of the OLLD community.
Why organise a Side Event?
Hosting a side event at OLLD25 offers unique benefits:
- Be included in the official conference agenda
- Gain visibility through the OLLD website and social media channels
- Engage your target audience – open your event to all OLLD participants or keep it invitation-only
- Showcase your organisation, network, or project results
- Connect with Living Lab experts, policymakers, researchers, and innovators
- Create a dedicated space for collaboration, learning, and exchange
Location and Set-up Options
All side events will take place on Day 0 of the conference – Tuesday, 30 September 2025 – allowing organisers and participants to align their events with the broader OLLD experience.
Rooms will be available across two types of locations in Andorra la Vella:
- The main conference venue, offering fully equipped meeting rooms where OLLD will be hosted.
- An external venue, Acta Art Hotel, located just a short walk away, providing a professional and comfortable setting with alternative room configurations and equipment options.
Please note that room assignments will be based on availability and specific event requirements, on a first come, first served basis.
Room fees
Fees are based on the expected number of participants and the duration of your side event. All prices are per room and exclusive of VAT.

Over 50 PAX | €900 | €1.500 |
Half-day events can be scheduled for either the morning (09:00–12:30) or afternoon (13:00–16:30).
Catering services for coffee breaks can be arranged upon request for an additional fee. Please note that technical setup and catering options may vary slightly between the two venues.
Participation & Tickets
Organising a side event does not require a conference ticket. Organisations may host a side event independently of the main conference. However, if side event organisers wish to also attend the official OLLD25 programme, they will benefit from a discounted conference ticket.
Please note that participation in a side event does not grant access to the main OLLD conference. Participants of your side event who wish to join the official OLLD programme must purchase a valid conference ticket. For more information about the tickets, please visit our website here.

To organise your side event, simply submit your request via the Expression of Interest Form. After receiving your submission, we’ll follow up to confirm availability, discuss your setup preferences, and support you in preparing for your event.
There is no strict deadline for submitting side event requests, but we strongly encourage early applications to ensure your preferred setup and location can be secured, as room allocation is done on a first come, first served basis.
